1. Introduction

Welcome to Asantechem Point of Sale (POS) System (“Asantechem,” “we,” “us,” or “our”). We provide a point-of-sale software solution designed for merchants, retail stores, and businesses (“Merchants”) to process transactions, manage inventory, issue digital receipts, and track analytics.

We respect your privacy and are committed to protecting the personal and operational data processed through our platform under the Kenya Data Protection Act, 2019 and applicable international regulations.

2. Roles in Data Processing

• Asantechem as Data Processor: For sales, inventory, cashier records, and end-customer details uploaded by Merchants onto the POS, the Merchant is the Data Controller and Asantechem acts as the Data Processor.
• Asantechem as Data Controller: Asantechem acts as the Data Controller for direct merchant account registration, subscription billing, and security analytics.

3. Information We Collect

• Merchant Details: Business name, address, KRA PIN, billing accounts, staff PIN codes, and M-Pesa business details.
• Transaction & Customer Data: Products sold, prices, tax, payment method (Cash/M-Pesa/Card), phone numbers collected for e-receipts, and payment verification codes.
• Technical Telemetry: POS terminal hardware serial numbers, Android app crash logs, device IP addresses, and register audit trails.

4. How We Use Information

We use data to enable core transaction processing, STK push payment requests, KRA eTIMS tax compliance integrations, security audits, software updates, and merchant customer support.

5. Sharing & Disclosure

We do not sell or rent merchant or customer data. Information is strictly shared with authorized service providers such as mobile payment operators (e.g., Safaricom M-Pesa), statutory tax gateways (e.g., KRA eTIMS), and secure cloud infrastructure providers.

6. Data Security

Data transmissions are secured using industry-standard TLS/SSL encryption. Access control is enforced via strict Role-Based Access Control (RBAC), and transactional database state is regularly backed up with offsite redundancy.
